How Mitre gained greater expertise in supplier management

How to create an attractive differential in the traditional market such as civil construction? That was the challenge Mitre faced 58 years ago when they decided to transform the family plan into a company.

With the goal of becoming a developer and builder of high-end developments, their first business card was to deliver high-quality work. And that's how their developments were made.

Over the years, 20 developments were delivered. All ahead of schedule.

But with great power comes great responsibility. Their customer base grew, the demand for new developments and the launch of other products made the family company even more concerned about the quality of their internal processes and governance.

Growth exposed the company to operational and reputational risks, mainly due to the thousands of suppliers, and that's how Mitre's purchasing team found us.

The main challenges

Maintenance and control of a risk and compliance policy

This was a huge challenge, as Mitre has a large volume of suppliers, both in the new entrants process and in the management of the active base. Therefore, they did not have the desired expertise in analyzing documents and information for risk decision-making, as the process was being directly handled by the buyers.

Data visibility

It was also not possible to have structured data visibility and indicators to ensure quality and speed in decision-making.

The Solution

With the initial public offering (IPO) process on the stock exchange carried out in early 2020, Mitre's procurement and compliance area took steps to provide a quick and efficient response to the need for a new supplier and provider onboarding and management process.

In this context, we were approached by Mitre's procurement team to present a unique and simple solution for the compliance team's needs, as well as for the procurement team in general, without the need for multiple tools or fragmented and/or manual processes.

Automated Supplier Data Management

With proprietary technology, the aid of machine learning, and artificial intelligence, we automated the process of collecting supplier data to evaluate pre-defined D&I criteria. As a result, we generated intelligent identification and certification data for over 3,000 analyzed companies.

Automated Supplier Data Management

Using a simple and intuitive platform, humanized real-time support, we were able to reduce the bureaucracy for suppliers' data submission. With pre-created checklists, we managed to reduce error recurrence and increase supplier satisfaction rate to 91.4%.

We reduced costs and improved Mitre's procurement team's work quality by taking on the review process of documents and forms submitted by the suppliers. Therefore, there was very little review work left for the company's procurement team and managers, allowing them to focus on more strategic and commercial functions.

Standardization and reinforcement of the supplier onboarding policy

Currently, more than 93% of Mitre's active supplier base has been added and analyzed in the Linkana platform, ensuring the rejection of over 180 suppliers with serious issues identified by the software algorithm. Furthermore, with the dashboards and indicators available within the tool, crucial information from the onboarding process stages has started to be controlled and mapped, allowing for the identification of bottlenecks or obstacles in the process in a more targeted and rapid manner.

Creation of a qualified vendor list

With the automated CNPJ validations made by Linkana, inconsistencies in duplicated or unnecessary processes have ended.

In addition, the solution also allowed the development of a vendor list of active suppliers, segmented by managerial purchasing categories and classified according to mapped risks and the current registration status of each partner.

As a result, the entire process of sourcing and supplier management has become easier and faster, since buyers and requesting teams have access to the list of accredited and reliable suppliers provided in the tool.
